Bookkeeper - District Office

DUTIES - Under the direct supervision of the Superintendent, to administer the school district’s accounting and bookkeeping activities, ensure the accuracy of financial records and invoices, as well as timely processing, submission and payment of invoices and expenses in accordance with the school district policies and practices as well as applicable laws and regulations. Principally, this position provides all functions related to financial bookkeeping, reporting, payroll and auditing within the district.

  1. Responsible for keeping accurate and up to date accounting records and processing accounting journal entry adjustments
  2. Assists with administering all grants with budget preparation, reporting and timely spending of all grant monies
  3. Prepare monthly, quarterly, yearly and miscellaneous financial reports
  4. Assist auditors during the annual district audit and any other audit as needed
  5. Maintain and process TRS and IMRF retirement
  6. Maintain and process IRS reports and paperwork including W-9 files, 1099’s and W-2’s
  7. Responsible for the preparation and timely payment of Account Payables
  8. Reconcile and audit all payroll liabilities to assure accuracy
  9. Responsible for Account Receivables, invoicing and deposits.
  10. Responsible for processing, reporting and collecting Medicaid Claims
  11. Prepare bank reconciliation on a monthly basis and reconcile all accounts
  12. Maintain petty cash funds and activity accounts
  13. Utilize the SDS financial management software to the fullest of its functionality
  14. Complete necessary forms and reports in accordance with school district procedures
  15. Process payroll, benefits and onboarding of new employees
  16. May be required to perform other tasks as assigned by the Superintendent

Qualifications

  1. Associates degree or bachelor's degree preferred
  2. A minimum high school diploma or equivalent is required
  3. A minimum of 2-5 years’ experience in accounting, bookkeeping or related position preferred
  4. Knowledge of Microsoft and Google applications
  5. Knowledge of SDS financial management software preferred
  6. Knowledge of school and general accounting principles is preferred
  7. Ability to operate office equipment including computer, phone, fax and copier
  8. Must have excellent oral and written communication skills to work with teachers, education support personnel, administrators and the general public in an acceptable and courteous manner
  9. Ability to enforce school regulations and policies in a professional manner
  10. Ability to maintain good working relationships with fellow employees
